Copyright 1993, Seize the Day, Inc. --- 11/21/93 --- Macintosh Manual 2 Seize the Day Manual FAST START & QUICK TIPS SEIZE THE DAY OVERVIEW Seize the Day is comprised of two parts, the Gallery window on the left and the Daybook window on the right. The Daybook has three working sections: Lists, Calendar (which contains the Daily Planner and To Do list), and Journal. The following brief descriptions show you how to move quickly around this on-screen manual as well as the basics of mastering and enjoying Seize the Day. IMPORTANT TIP Wherever in this on-screen manual you see a line of all capitalized words preceded by a dash, it means you may reach that record instantly. Point your cursor at the dash and press the mouse button (click on the dash). With the record name thus highlighted, press the Lookup button at the top of the screen. This opens the record box to your left. SELECTING AND EDITING TEXT Use of the Daybook requires extensive use of text entry and editing. Using the keyboard in conjunction with the mouse may be very effective when working with text. This manual assumes you already know the basics of text editing (selecting, copying, moving and deleting text) using the mouse or the keyboard. If you need more information, click on the dash preceding TEXT EDITING, then press the Lookup button. TEXT EDITING LOOKUP All information you enter within the Daybook is available to you from wherever you are in the program. In other words, all parts are connected, and the Lookup function is the fastest link. Lookup lets you find information that you have entered into the record name of the Personal, Business and Free Form type lists. For details, click on the dash preceding LOOKUP, then press the Lookup button. INDEX This is an alphabetical listing of many subjects and features of Seize the Day. With it you may summon instantly any record within the on-screen manual index. For details, click on the dash preceding INDEX, then press the Lookup button. The Index record opens to your left. Scroll down the list until you see the topic you want, select it, then press the Lookup button at the top of the record screen to bring up a new record screen. FIND Whereas the Lookup feature searches only key fields within different types of lists, the Find feature searches for words and word-strings in everything that you write within the Daybook (Lists, Calendar, and Journal). It's not as fast as Lookup, but more exhaustive. For details, click on the dash preceding FIND, then press the Lookup button. LISTS There are three types of lists that you may create in the Daybook: Personal, Business, and Free Form. To create a new list, press the Lists button, then press the New Lists button at the bottom of the screen. Type the name of the new list and choose a list type. All three may be printed, imported, exported, and edited. For details, click on the dash preceding LISTS, then press the Lookup button. PRINT THE MANUAL The on-screen manual is provided for your convenience--it never can get lost. However, if you prefer a hard copy, you may print it. For details, click on the dash preceding PRINT THE MANUAL, then press the Lookup button. v 11.21 \ LIVING WORLDS GALLERY & TIME TRAVEL OVERVIEW Twelve Living Worlds appear in the "Gallery" of Seize the Day--one for each month. They are tied to the internal clock of your computer so they constantly change as you go through the day. At the end of each month, a new world will appear automatically at midnight. TIME TRAVEL If you're like most people, you'll want to move around the 12 worlds at will. So we created a special Time Travel feature that lets you explore anywhere, anytime you like. To travel, select the Time Travel option within the Gallery Options menu. The Time Travel dialog box will appear. To practice traveling, enter the following coordinates (for March 4 at 5:59:45 PM); they will take you to one of our favorite times and places: 1 Type the number 5 in the H (Hour) box. 2 Press the Tab key and type the number 59 in the M (Minute) box. 3 Tab again and type 45 in the S (Second) box. 4 Tab again and type the number 4 in the Day box. 5 Tab again and type the number 3 in the Month box. 6 Select the PM box and activate it. (Leave the PM box blank for AM.) 7 Finally, press the OK button. When the new image comes in, watch for about a minute to see what happens. IMPORTANT TIME TRAVEL TIPS You may keep a constant vigil on the Living Worlds to see special phenomenon that occur each month. If you can't wait, we've created a sample list of coordinates for each month. To find the list, select the About This Image option within the Gallery menu. Write down the date/time, then enter the coordinates in the Travel Through Time dialog box. If you press the Reset button, the Living Worlds revert to real time, matching the month, day and time that appears on your Welcome screen. \ WELCOME (BUTTON) OVERVIEW The Welcome screen greets you every day with information and inspiration. It also serves as an easy-to-use gateway to the rest of the Daybook. Brief descriptions follow for the major parts of the Daybook that are accessible from the Welcome screen. JOURNAL (BUTTON) On the Welcome screen each day you will see a partial quote. To view the complete quote, select the quote itself or press the Journal button at the top of the screen. This brings up the Daily Journal screen that expands on the theme of the quote. By pressing the Personal Journal button at the bottom of the Daily Journal screen, you reach the Personal Journal (the active, writing part of your Journal). LISTS (BUTTON) To enter the Lists feature (which contains the Personal and Business lists as well as the Personal Journal Summary and Done History), press the Lists button at the top of the screen. You will find Lists to be one of the most unique and helpful aspects of the Daybook. CALENDAR (BUTTON) To enter the Calendar (which also contains the Daily Planner and To Do list), just press the date or time on the left margin of the Welcome screen, or press the Calendar button at the top. The Calendar has five different views: Day, Week, Weekend, Month, and Year. You may type text directly into the first three views using standard text and editing commands; the last two views are used for moving easily from one time to another. THIS DAY (BUTTON) This Day entries provide a daily snapshot of significant events in world history. To view This Day, press the words "Seize the Day" inside the bar at the bottom of the Welcome screen or press the This Day button at the top of the screen. \ JOURNAL (BUTTON) OVERVIEW The Journal is a place of inspiration and creativity. It starts on the Welcome screen with a "teaser" or partial quote. To read the complete quote, press the quote itself or press the Journal button at the top of the screen. DAILY JOURNAL This part of the Journal contains the entire quote, who said it, and often a blurb in explanation of either or both. It changes every day, and you cannot edit it or write on it. Use the arrow buttons at the bottom right of your Daybook to move through journal entries one day at a time. The Left Arrow takes you to past entries and the Right Arrow takes you to future entries. Press the Personal Journal button at the bottom left of the Daybook window to reach the Personal Journal. IMPORTANT TIP Only one journal may appear in a Daybook at a time (unlike This Day modules that allow entries to appear sequentially on the same day within the same Daybook). You may select and bring new journals into your Daybook by using the Select Journal option in the Daybook menu. PERSONAL JOURNAL This is the creative part of the Journal. It provides you a blank piece of paper every day. Whatever you write in it during a day is automatically saved in a list called Personal Journal Summary (and is listed by date). There is no practical limit to the amount of text you may write every day. PERSONAL JOURNAL SUMMARY This is the name of the list within the Lists section of the Daybook that keeps a permanent record, by date, of all entries you make in your Personal Journal. The name of each record in the list is the date the entry was made. SELECT JOURNAL Your program comes with the Seize the Day Journal, but other Journals are available directly from us by calling 707-942-2983. After you have installed another Journal, you may choose it by selecting the Select Journal option within the Daybook menu and then opening the desired Journal. Samples of some of the Seize the Day Plug-in Journals are included in the Sample Journals folder. The names of the sample journals appear in a Journal dialog box. Select the one you want and press the OK button. \ LISTS (BUTTON) OVERVIEW The Lists feature gives you great flexibility in formatting and using your information. When you press the Lists button, you view some "permanent" lists: Personal, Business, Done History, Personal Journal Summary, and Seize the Day Manual. CREATE LISTS Press the New button at the bottom of the screen. A dialog box will appear that lets you choose the type of List that you want. The three types of lists (Personal, Business, and Free Form) are described below. DELETE LISTS Select a list, then press the Delete button. Follow the dialog box instructions. RENAME LISTS Select a list, press the Rename button, type the new name, and press the OK button. OPENING A LIST To open a list to view or edit the records, double click on the list name (or select the list and press the Return key). IMPORTANT: Before renaming the Done History or Personal Journal Summary lists, read the appropriate section by clicking on the dash preceding the following topics, then press the Lookup button. DONE HISTORY PERSONAL JOURNAL SUMMARY RECORD NAMES & RECORD ENTRIES When you select a list, you reach the Record screen which is a split screen with record names in the top section and record entries in the lower section. To create a new record, press the New button at the bottom of the screen. To name the record, type a name in the first field (name, company or subject). To create a record entry, type in the bottom section of the screen. To delete a record, select the Record name in the upper section and press the Delete button. SORT The Sort feature lets you sort records within lists in various ways. This is very helpful in Personal and Business address lists, of course, where you want names in alphabetical order. Press the Sort button and make your choices in the dialog box that appears. PERSONAL LISTS and BUSINESS LISTS Personal lists and Business lists are phone/address lists that have a basic Rolodex format with clearly identified fields into which you type information directly. The difference between the two types is that a Personal list has first and last name fields and one phone field while a Business list has three name fields and three phone fields. Both types have a lengthy (and scrollable) comment field for note taking. FREE FORM LISTS A Free Form list is much like a blank piece of paper, with no formatted fields. This on-screen manual is an example of a Free Form list. Each subject name that you see in the upper section of the screen is a record within the large list called "Seize the Day Manual." The lower section of the screen displays the selected record. The key field, for Lookup purposes, is the Subject field. To "lookup" a record within the Daybook, select its name from within the Lists, Calendar, or Journal and press the Lookup button. KEY FIELDS Key fields let you quickly "lookup" names and address records from anywhere in the Daybook. In Personal Lists, the key fields are the First name and Last name fields. In Business Lists, the key field is the Company name field. In Free Form lists, the key field is the Subject name field. To call up an address record from the Lists, Calendar, or Journal, select the key field name and press the Lookup button. If there is no such key field name, Seize the Day will tell you so. IMPORTANT TIPS Each Daybook may contain numerous lists (up to 100) and records (up to 5,000). If you have a special need to create a large number of lists, each containing numerous records, you may want to consider creating a new Daybook for such circumstances. \ CALENDAR (BUTTON) OVERVIEW To reach the perpetual Calendar (which stretches 2,000 years into the past and 2,000 years into the future), press the Calendar button from anywhere within the Daybook. If you're in the Welcome screen, you may also click the date or time itself to reach the Calendar. The Calendar serves three different functions: Calendar, Daily Planner, and To Do list. Brief explanations of each follow. To learn more about any of the following subjects, select the capitalized line (i.e., - DAILY PLANNER), then press the Lookup button. The subject record will appear to your left as a tutorial. DAILY PLANNER When you press the Calendar button, you reach the Day view. It is a split screen with the Daily Planner above and To Do list below. Daily Planner entries (meetings, commitments, birthdays, etc.) are specific to the day you write them and do not carry over to the next day. Each entry that you make is preceded by a dash, which simplifies editing and moving blocks of text. (For more information, "lookup" TEXT EDITING.) If you precede text with a time number (i.e., 9 a.m.), the number bolds automatically. Alarms may be set for entries that begin with a valid time. Any entry may be set to repeat. All text is automatically saved as you type. TO DO LIST To Do list entries, unlike Daily Planner entries, move with you from day to day unless you delete them or move them into the Done History list. You may easily move entries between the To Do list and Daily Planner. (For more information, "lookup" TEXT EDITING.) To delete an entry, select it and press the Delete button. To send an entry to the Done History list (a permanent record by date of your accomplishments), select it and press the Done button. Again, all text is automatically saved as you type. CALENDAR VIEW (BUTTONS) There are five calendar views within the Daybook--DAY, WEEKDAY, MONTH, SIX MONTHS (which we call YEAR for simplicity), and WEEKEND. You reach all views (except Weekend) by pressing the buttons at the bottom of the Calendar screen. (The Day view is the Daily Planner and To Do list.) In each of the views, you may move into the past and future by using the Right and Left arrows at the bottom right of the screen. Pressing the Right arrow moves you one day, week, month, or six-month period into the future. Pressing the Left arrow moves you likewise to the past. The WEEKDAY view shows a Monday through Friday snapshot of Day views. You may type information directly into each of these days and use the scroll arrows to read information that exceeds the screen space. To get a full day view from any day in the week, just place the cursor on that day then press the Day button. The WEEKEND view shows Friday through Sunday snapshot of Day views. You may type information directly into each of these days and use the scroll arrows to read information that exceeds the screen space. To get a full day view from any day in the weekend, just place the cursor on that day then press the Day button. The MONTH view shows an entire month, and any information that you type into the Daily Planner or Week view appears on the Month view as "Greek" type--you know something is there but you can't read it. It gives you a rough picture of your schedule for the month. For a closer look at any day, just select the date. You'll also notice that the current day is indicated by a red outline. The YEAR view actually shows you half a year. To move to the previous or next six month view, use the arrows in the lower right hand corner of the Daybook. \ TEXT EDITING OVERVIEW The Text Editor in the Daybook is a simple word processor, with some exceptions that simplify text movement within calendars, To Do lists, etc. The following subjects describe how to write, edit, and move text within all the functional areas of the Daybook. For more information on any of these subjects, click on the dash that precedes the capitalized subject (i.e. MOVING TEXT) then press the Lookup button. MOVING TEXT There are two ways to move text from place to place in Seize the Day: Drag & Drop and Cut & Paste. To Drag & Drop text, point the cursor at the dash that precedes any text entry, then press and hold down the mouse button. You may then "drag" this to another place in the text and "drop" into place. To Cut & Paste text, select the text and use the standard commands within the Edit menu. For more details on either method, Click on the dash preceding MOVING TEXT, then press the Lookup button. WRITING TEXT Text in the Daybook is entered in paragraphs or "entries" that are preceded by a dash. Every time you press the Return key and start typing, a new entry is created. There is only one font that appears inside the Daybook (however, you may select the printing font by selecting the Page Setup in the File menu). The Daybook automatically bolds certain beginning characters to make entries easier to view. See the examples below. Bolding of times is helpful in the calendar and bolding of item numbers is useful in lists. This feature is for on-screen viewing only and does not affect printed items. Bolded character examples: 8:00 AM 10 11:30 am noon 4 pm 1 2 3 Non-bolded character examples: Meeting with Tom at 8 am Step 1 \ MENUS OVERVIEW A menu bar includes many of the standard Macintosh menu (File and Edit) and option items (Cut, Copy, Paste, etc.) as well as some menus (Gallery, Daybook, Journal, Lists, Day, Week, Weekend, Month, Year, and This Day) and associated options that are unique to Seize the Day. Information about the options in each Menu is included in the records that follow. Look in the record entitled INDEX to find the information you need. Many options have keyboard shortcuts keys to make the options easier to select from the keyboard. For more information, click on the dash preceding HOT KEYS, then press the Lookup button. HOT KEYS \ INDEX OVERVIEW This Index alphabetically lists many features and functions in Seize the Day. Use the scroll bar to scroll the list. When you find the topic you want, click on the dash preceding the topic, then press the Lookup button. The record containing the topic appears in a window to the left of the Daybook. ABOUT... OVERVIEW Information about the various parts of Seize the Day may be found in the appropriate menu. ABOUT SEIZE THE DAY Selecting the option under the apple menu item will display names of the team that created Seize the Day. ABOUT JOURNAL and ABOUT THIS DAY These options within the Daybook menu provide "authorship" information about the Journals and This Day plug-ins being used. ABOUT THIS IMAGE The About This Image option within the Gallery menu gives you more detailed information about the specific image that is displayed. With the Living Worlds, you receive the time coordinates for some of the phenomenon or "happenings" for the current month. Use these coordinates in the Traveling Through Time dialog box to journey to the events. For more details, click on the dash that precedes LIVING WORLDS GALLERY & TIME TRAVEL, then press the Lookup button. LIVING WORLDS GALLERY & TIME TRAVEL ABOUT LIVING WORLDS (or specific art plug-in) The About Living Worlds option within the Gallery menu gives you general information about the creators of the Living Worlds or the Gallery plug-in that is displayed. In the case of most plug-ins, this will be titles, artist names, copyright, etc. \ Alarms OVERVIEW Alarms let you notify yourself of pending events that you have entered into your Calendar. After you set an Alarm, a dialog box appears at the time you designate to remind you of the event. Sounds can accompany the visual Alarm, and there's even a Snooze feature once the Alarm appears. IMPORTANT TIPS The event must be preceded by a time designation such as 10 am, 6:30 pm, 9:45 a.m., 1 p.m., and noon. If you want to be reminded with an alarm one week before someone's birthday, remember to give the birthday a time designation. NOTE: If your Daybook is open but you are working in another application when your alarm goes off, the Macintosh Application Menu button located in the upper right corner of your screen will blink on and off informing you of the alarm. TO SET AN ALARM, follow these simple steps: 1 In the Daily Planner section of the Calendar, type an entry that is preceded by a time such as 4 PM, or 6 AM, or noon. The selected time must be in the future. 2 Place the cursor on any word within the entry (or select the entry by clicking on the dash that precedes it) and press the Alarm button at the top of the screen. The Alarm dialog box appears automatically. 3 Your entry appears in the box. Below your entry are three advance notice boxes: one for the number of days, one for the number of hours, and one for the number of minutes. 4 Select the amount of your advance warning (some combination of days, hours, and minutes). 5 If you want a sound to accompany the reminder, select the With Sound box. Then select your sound of choice. 6 When you're finished, press the Return key or press the OK button. A bell symbol indicating the entry has been alarmed now appears next to the entry in the Daily Planner. To remove an alarm, bring up the Alarm dialog box as in Step 2 and press the Remove Alarm box. \ Daily Planner OVERVIEW The Daily Planner appears in the upper section of the Calendar screen in the Day view. We tried to make the Daily Planner as simple to use as a notebook planner, but with some technological improvements. Everything is done right on the screen, except for setting Alarms or Repeating Events, which are just one dialog box away. ENTRIES To make entries, just start typing. Each entry is automatically preceded by a dash. If you begin an entry with a number and/or a time (i.e., AM or PM), the number and dash become bold automatically. The word noon will also cause a bold entry. SELECTING AND MOVING ENTRIES To move entries around the Planner (or to the To Do list), you may use standard cut, copy, and paste techniques ("lookup" TEXT EDITING for more details) or use a "drag & drop" technique. Here's how: Click on the dash that precedes each entry, then press and hold down the mouse button. Move or "drag" the selection until you want to "drop" it somewhere else. IMPORTANT TIPS You may use the Drag & Drop technique to move entries from the Daily Planner to the To Do list and vice versa. The Day view screen may be resized to expand the viewing area of either the Daily Planner or the To Do list. For further information about using the Daily Planner, click on the dash that precedes the following topics, then press the Lookup button. ALARMS LOOKUP MOVING TEXT REPEATING EVENTS TEXT EDITOR TO DO LIST \ Daybooks OVERVIEW The Daybook is the name for the right-hand "tools" side of Seize the Day. CREATE AND OPEN MORE THAN ONE DAYBOOK After you've created one Daybook you may easily create others. This is helpful if you have other people using the same computer and you want to keep information separate. And it's sometimes nice to have separate Daybooks for your Personal Journal entries, say one for business and one for play or hobbies. Select the Open Daybook option in the File menu. The names of existing Daybooks appear in the dialog box. To load an existing Daybook, select its name, then press the OK button. Only one Daybook may be loaded at a time. To create a new Daybook, choose the New Daybook option in the File menu. A New Daybook dialog box appears. Type the name of the Daybook (at least one character) into the text box. If you do not want a password, press the SAVE button. If you do want a password, select Password Protect File before pressing SAVE. A new dialog box will appear. Type a password (at least one character) in the first text box. Type it again in the second box to confirm it, then press the OK button. To find out more about passwords, click on the dash that precedes PASSWORDS, then press the Lookup button. PASSWORDS If you wish to rename your Daybook, from the desktop of your computer, open the Seize the Day folder, select your Daybook file and rename it. \ Done (BUTTON) OVERVIEW The Done button is located within the Calendar beside the To Do list. When you select any entry in either the To Do list or Daily Planner and press this button, the entry disappears from the screen and appears in the Done History list (within Lists). The Done History list is a list by date of any entries that you have "saved" with the Done button. \ Done History OVERVIEW When you select any entry in either the To Do list or Daily Planner and press the Done button, the entry appears in the Done History list (within Lists). The Done History list is a list by date of any entries that you have "saved" with the Done button. IMPORTANT TIP If you rename the Done History list, a new list named Done History will be created the next time you use the Done button. NOTE: If you select a repeating event in the Daily Planner and press the Done button, the repeating event text will be placed in the Done list but, since it is a repeating event, the repeating event will remain in the Daily Planner . \ Exporting OVERVIEW Information entered in your Daybook Lists may be used in other applications. Lists may be exported to other Seize the Day Daybooks or to other Macintosh (or Windows or MS DOS) applications. There are certain steps that need to be followed when exporting files. For information about importing, click on the dash that precedes IMPORTING, then press the Lookup button. IMPORTING EXPORTING LISTS TO OTHER SEIZE THE DAY DAYBOOKS Lists to be exported to other Seize the Day Daybooks (within your computer or to another computer via disk) should be exported in Seize the Day format. To export a list in Seize the Day format: 1 Select Export from the File menu. 2 Select the list to export. 3 Select Seize the Day Format. (Note: select PC Text Format if your file is to be used with the Windows version of Seize the Day) 4 Press the OK button. 5 Select the drive and folder where the file is to be saved. 6 Type a file name. 7 Press the OK button. The exported file may now be imported into another Seize the Day Daybook. EXPORTING LISTS FROM SEIZE THE DAY INTO OTHER APPLICATIONS Seize the Day files may be exported for use in other applications, such as TeachText, Microsoft Word, etc. Personal & Business formatted lists are normally exported in Tab Delimited format. Free Form formatted lists are normally exported in Text format. To export in Tab Delimited format (Personal or Business type lists), proceed as follows: 1 Select Export from the File menu. 2 Select the list to export. 3 Select Tab Delimited. (Note: select PC Text Format if your file is to be used with a Windows or MS-DOS application) 4 Press the OK button. 5 Select the fields you want to export. 6 Press the OK button. 7 Select the drive and folder where the file is to be saved. 8 Type a file name. 9 Press the OK button. The exported file may now be imported into another application. To export in Text format (Free Form type lists), proceed as follows: 1 Select Export from the File menu. 2 Select the list to export. 3 Select Text format. (Note: select PC Text Format if your file is to be used with a Windows or MS-DOS application) 4 Press the OK button. 5 Select the fields you want to export. 6 Press the OK button. 7 Select the drive and folder where the file is to be saved. 8 Type a file name. 9 Press the OK button. The exported file may now be imported into another application. \ File Menu OVERVIEW The File menu item contains options for creating and opening Daybooks (New Daybook and Open Daybook), setting Daybook passwords (Set Daybook Password), importing and exporting list records (Import and Export), setting up and printing (Page Setup and Print), and quitting the program (Quit). \ Find OVERVIEW The Find option searches each record, in Lists or Calendar in the Daybook, that contains the word or word-string that is entered into the search field. Find does not search through the Daily Journal and This Day entries. 1 Select the Find option from within the Daybook menu. 2 Type in the text box the word or word-string that you are looking for. Alternatively, you may highlight any word or word-string in the Daybook and select the Find option. That text will automatically appear in the text box. 3 Select the areas within the Daybook that you want to search. This ranges from one or more selected lists, to just the Calendar, to everything. 4 Press OK. Obviously the fewer areas you choose, the faster the search will be. IMPORTANT TIPS You're limited to 256 characters in your word-string, including spaces. If your word-string is found in more than one place, press Next Record until you find the record you want. Find finds only one word-string per record; it does not find multiple cases of the same word-string within the same record. Find will perform partial word searches. The more entries in your Daybook, the longer it will take to complete a search. When organizing your information you want to find quickly, consider using the Lookup feature which "searches" only in the titles of records. \ Fonts OVERVIEW Special fonts (STDButton and STDEdit) are used in Seize the Day for viewing the program on the screen. These fonts should not be selecting for printing, When you print information in Seize the Day your choice of printing fonts are those loaded into your computer that work with your printer. For more information about printing, click on the dash that precedes the following topics, then press the Lookup button. PAGE SETUP PRINTING \ Hot Keys OVERVIEW Hot Keys are special key strokes or commands that initiate features without using the mouse or having to open menus. They are particularly helpful when you perform a function many times. Hot Key commands, if they are available, are listed next to the menu command. By using the import feature you may import information into new or existing Lists. For example, name and address lists, text journals, etc. may all be imported. Lists may be imported from other Seize the Day Daybooks. Data files may be imported from other applications. There are certain parameters that need to be followed when preparing these files for import, which are discussed below. For single records and small entries, using cut, copy and paste techniques is easier and quicker than importing. For more information on editing, "lookup" the following record: TEXT EDITING IMPORT LISTS FROM OTHER SEIZE THE DAY DAYBOOKS Lists to be imported from other Seize the Day Daybooks should first be exported in Seize the Day Format. For information on exporting, click on the dash preceding EXPORTING, then press the Lookup button. EXPORTING To import a list that is in Seize the Day Format: 1 Select Import from the File menu. 2 Select the list to import into (or create a new list by selecting Create a New List). 3 Select Seize the Day Format. 4 Select the OK button. 5 Select the appropriate drive and folder containing the file to be imported. 6 Select the file and press the OK button. The file is now a list in your Daybook. IMPORT DATA FILES INTO SEIZE THE DAY FROM OTHER APPLICATIONS Files from other applications may be imported into the three types of lists in Seize the Day: Personal, Business and Free Form. You must format the document to be imported before you import it. PERSONAL type lists contain seven tab delimited fields in each record (in the following order): First name, Last name, Address, City, State, Zip, Phone Each incoming record must consist of seven tab delimited fields followed by a return character. The return character indicates the end of one record and a next record is created. If there is no information in one or more of the fields, the blank field still must be indicated by a tab. The comments area below these fields cannot have information imported into it. Text may be entered into this field by typing or by copying and pasting. BUSINESS type lists contain ten tab delimited fields in each record (in the following order): Name or Business name, Second name field, Third name field, Street Address, City, State, Zip, Business phone, Home phone, Fax. Each incoming record must consist of ten tab delimited fields followed by a return character. The return character indicates the end of one record and a next record is created. If there is no information in one or more of the fields, the blank field still must be indicated by a tab. The comments area below these fields cannot accept imported information. Text may be entered into this field by typing or by copying and pasting. TO IMPORT A LIST INTO A PERSONAL OR BUSINESS LIST, perform the following steps: 1 Select Import from the File menu. 2 Select the list to import into (or selecting Create a New List, enter a list name, select the Personal or Business type, and press OK). 3 Select Tab Delimited format. 4 Press the OK button. 5 Select the appropriate drive and folder containing the file to import. 6 Select the file and press the OK button. The file is now a list in your Daybook. FREE FORM lists contain two fields in each record: Record name (Subject) and Text. To format a Free Form list, first save the document to be imported in "text" format. The document should have a short subject title, followed by a single return, followed by the rest of the information. Seize the Day will import the short subject title into the subject field of the new record in the list you select and the rest of the information will be imported into the entry section of the record. TO IMPORT A FILE INTO A FREE FORM LIST, perform the following steps: 1 Select Import from the File menu. 2 Select the list to import into (or selecting Create a New List, enter a list name, select the Free Form type and press OK). 3 Select Seize the Day Format. 4 Press the OK button. 5 Select the appropriate drive and folder containing the file to be imported. 6 Select the file and press the OK button. The file is now a list in your Daybook. \ Lookup OVERVIEW The Lookup feature in the Daybook lets you summon instantly the names, addresses, and other information that you have entered into Personal, Business and Free Form records. Lookup searches only the record name (key field) of a Personal, Business or Free Form record. Select any word(s) within the Daybook. Now press the Lookup button at the top of your screen. Three things may happen: 1 The selected word(s) is found in the first line of a Personal, Business or Free Form record. If so, the record pops up automatically. 2 The selected word(s) is found in more than one formatted record. If so, a list of records where it was found will pop up automatically. You may select any one of the records and press the OK button to bring up a specific record. 3 The selected word isn't found in the first line of a Personal, Business or Free Form record. If so, the Daybook will inform you. From the Lookup screen, you may select another word that appears on the Lookup screen and press Lookup, go to the actual record by pressing the Go To Record button, or put the Lookup screen away by pressing the OK button. IMPORTANT TIPS The Lookup feature requires exact matches between the word(s) that you highlight and the record name. If you spell the record name incorrectly or have an extra space in the name, Seize the Day can't find it with Lookup. The Lookup function, however, will do partial word searches. Lookup only searches key fields (record name) within Lists. It doesn't search through your Personal Journal or your Calendar entries. For that you need to use the Find feature. For more information, click on the dash that precedes FIND, then press the Lookup button. FIND \ Moving Text OVERVIEW There are two ways to move text from place to place in the Daybook: Drag & Drop and Cut & Paste. DRAG & DROP This requires a mouse and will only Drag & Drop entire "entries" from the Lists, Calendar, or Journal. To Drag & Drop these blocks of text, click on the dash that precedes any text entry and hold down the mouse button. You may then "drag" the selected text to another place in the text and "drop" it into place. CUT & PASTE To Cut & Paste text, select the text and use the standard cut, copy, and paste commands within the Daybook Edit menu. Alternative hot keys are Command + X (cut), Command + C (copy), and Command + V (paste). Unlike the Drag & Drop technique, you may Cut & Paste single words, phrases or sentences in addition to entire entries. \ Page Setup OVERVIEW Page Setup allows you to Set the margins for printing your Lists, Calendar, Journal, and This Day information; make settings to print labels on custom forms; and Select the font type, style and size for printing. The Page Setup option is found within the File menu. MARGINS You may set margins for the left, top, right and bottom edges of your paper. Depending on your printer characteristics, you may want to adjust the margin settings to create the margins you desire. (For example, a left margin setting of 1 inch may cause your printer to have a 1.25 inch margin.) SET LABEL OPTIONS These settings are used when printing labels. Use the left and top margins to determine where printing starts on each label. Set the width and height to equal the size of the labels you are using. Set the Number of Columns to equal the number of labels across the page. Set the Number of Rows to equal the number of labels down the left side of the page. Click OK to save the settings. SET PRINTING FONT The best font to use depends on the fonts that have been installed in your computer, the type of printer you have, and your personal preference. Note: The Seize the Day fonts (STDButton and STDEdit) are used for on-screen viewing only. Select the desired printing font type and size, then click OK. After you select the font and the margins, press the OK button. The program remembers your settings. \ Passwords OVERVIEW You don't have to have a password for your Daybook, but the feature is here to protect the information that you keep in the Daybook. No one may get into your Daybook without knowing your password. When you create a new Daybook, you are given an option to have a password for that Daybook (or not to have one). If you want a password, select Password Protect File option before selecting SAVE. A new dialog box will appear when you select SAVE. Type a password (at least one character) in the first text box, type it again in the second box to confirm it, then press the OK button. CHANGE THE PASSWORD When you want to change a password for any open Daybook, here's how: 1 Select Set Daybook Password option in the File menu. 2 If your Daybook is password protected, enter your current password. 3 Type the new password (at least one character) into the first box. Then type it again into the second box to confirm it. Press the OK button when you are finished. Note: If you want to remove the existing password altogether, follow steps 1-3 above, but do not type a new password in step 3, just press OK. IMPORTANT: WRITE DOWN YOUR PASSWORD. IF YOU DO NOT REMEMBER IT YOU WILL NOT BE ABLE TO OPEN YOUR DAYBOOK. \ Personal Journal Summary OVERVIEW The Personal Journal Summary list is a list by date of any entries you have entered into the Personal Journal. IMPORTANT TIP If you rename the Personal Journal Summary list, a new list named Personal Journal Summary will be created the next time you write in your Personal Journal. Entries made into the Personal Journal are always saved in the list named Personal Journal Summary. \ Plug-ins OVERVIEW Seize the Day was designed to allow you to expand and customize it with affordable add-on modules we call "plug-ins." These are sold separately from Seize the Day and appear in the catalog that accompanies the original product. Plug-ins come in two varieties: Gallery (Art) plug-ins and Library (Journal and This Day) plug-ins. If you would like more information about these add-on products, please call us at 707-942-2983. SINGLE USER MODE If you have only one Daybook (or use one Daybook most of the time), you may select the single user mode to cause your Daybook to automatically load when you run Seize the Day. OPTIMIZE FILE SIZE This button allows the user to conserve space on the hard drive. Optimizing the file size will not change the performance of the program. \ Print Journals and This Day OVERVIEW You may print entries for any selected day of the Daily Journal, Personal Journal and This Day. TO PRINT FROM THE JOURNALS: 1 Display the entry you wish to print. 2 Select Print from the File menu. 3 Press OK to begin printing. If you wish to reformat the text before printing, you may copy selected text and paste it into another application such as Microsoft Word. Note: The Daybook does not have an option to print an entire journal, with the exception of your Personal Journal entries, which are found in the Lists under the heading Personal Journal Summary. TO PRINT YOUR PERSONAL JOURNAL SUMMARY, refer to the PRINT LISTS record by clicking on the dash that precedes PRINT LISTS, then press the Lookup button. PRINT LISTS \ Print Lists OVERVIEW You may print a list of lists, a single record within a list, a selection of records from within a list or all the records within a list. You may print your list as text or in a variety of label formats. For setting margins and making settings for various size labels, click on the dash that precedes PAGE SETUP, then press the Lookup button. PAGE SETUP TO PRINT A LIST OF LISTS: 1 Press the Lists button (be sure no list is selected). 2 Select Print from the File menu. 3 Press OK to begin printing. Press OK to begin printing. IMPORTANT TIP You may print just the record or records you want at any given time by selecting the name of the record within the Print List dialog box. By holding down the Command key while clicking on the list of records you may select individual records. By holding down the shift key you may select a series of records. \ Printing OVERVIEW Seize the Day prints Lists, Calendars, Journals and This Day in a variety of formats by choosing what to print, by setting various margins and by selecting various fonts. Seize the Day prints its lists in a wide range of label formats. Before printing, be sure to select Page Setup in the File menu to set margins, label settings and select the font. For more detailed information, "lookup" any of the following records: PRINT LISTS PRINT JOURNALS PRINT CALENDAR VIEWS PRINT THE MANUAL PAGE SETUP \ Print Calendar Views OVERVIEW Calendar entries may be printed from the three basic views: Day, Week and Month. Options within each view allow for further selections, such as printing the To Do list, printing only Weekends, and printing One Day per Page. TO PRINT A DAY AND/OR TO DO LIST: 1 Display the Day you wish to print. 2 Select Print from the File menu. 3 Select Print Day, Print To Do, or both. 4 Press OK to begin printing. TO PRINT A WEEK: 1 Display the Week you wish to print. 2 Select Print from the File menu. 3 Select Print Week, Print Weekdays Only, or Print Weekends Only. You may also select Print One Day per Page. 4 Press OK to begin printing. TO PRINT A MONTH: 1 Display the Month you wish to print. 2 Select Print from the File menu. 3 Select Print Month, Print Weekdays Only, or Print Weekends Only. You may also select Print One Day per Page. 4 Press OK to begin printing. \ Quit OVERVIEW Seize the Day allows you to hide the Gallery (select Hide Gallery under the Gallery menu) and leave the Daybook open or to hide the Daybook (select Hide Daybook under the Daybook menu) and leave the Gallery open. QUIT SEIZE THE DAY To exit the Seize the Day, select the Quit option within the File menu. All the information in the Daybook is automatically saved as you type it. \ Repeating Events OVERVIEW One of the drawbacks of paper calendars is that at the end of the year you must throw away the old one and re-write all your birthdays and key dates in the new one. With Repeating Events, however, you enter re-occurring dates or events only once and the Daybook does the rest. SET A REPEATING EVENT You may make any entry in your Daily Planner a repeating event by following these steps: 1 Type an event in the Daily Planner section of the Calendar. 2 Select the entry and press the Repeat button. 3 Select the frequency of the event from the options in the Repeating Events dialog box, then press OK. A circle around the dash that precedes the entry indicates a repeating event. REMOVE A REPEATING EVENT To remove a repeating event, display the day containing the repeating event you wish to delete. Select the event. Press the Repeat button. Then press the Remove button from the Repeating Event dialog box. All past events remain as repeating events in the Calendar. All future repeating events are deleted. On the selected date, the circle around the dash disappears but the event remains. \ Resizing Split Screens OVERVIEW If you are in the List or Calendar areas (the ones with split screens), you may change the relative vertical sizes of the top and bottom work areas. Try it on this list. 1 Place the cursor carefully on the gap between the upper and lower halves of the screen. The cursor will change into a horizontal line with an arrow above it and below it. 2 Press and hold down the mouse button. You may now move the line that separates the split screens. Move it up to increase the lower half; move it down to increase the upper half. Once you change these dimensions, your program will automatically remain that size until you change them again. \ Save OVERVIEW Unlike most software programs, you don't have to do anything to save the information that you enter into the Daybook. Once you enter information, it's saved automatically. That's why there is no Save option in the menus. \ Select Journal OVERVIEW Several samples of Journal plug-ins appear within the Daybook itself. To view them, select the Select Journal option within the Daybook menu. A few sample journals can be found in the Sample Journals folder. Select the one you'd like to see and press OPEN. For more information on Plug-ins, click on the dash preceding PLUG-INS, then press the Lookup button. PLUG-INS \ Sort OVERVIEW The Sort feature lets you sort records within lists in various ways: alphabetically by the first word in the record, alphabetically by the last word in the record, and in reverse alphabetical order. To manually sort use drag & drop individual records. TO SORT A LIST 1 With the list displayed, press the Sort button and the Sort dialog box will appear. 2 Select to sort on the first or last word. 3 Select the Reverse Order and/or the Freeze Sort options as desired. 4 Press OK. ALPHA FIRST OR LAST WORD You may select to sort on the first word in the key field or the last word in the key field. When there is only one word, that word is both the first and the last word. REVERSE ORDER This option will sort the list in reverse order. FREEZE SORT In addition, you may "freeze" the order of the first ten records in a list, then sort the rest of the records any way you want. This is helpful when there are many records in a list (i.e., a Business Phone list) and you want easy access to the ten most frequently used records. You may freeze the records of these top ten so you won't have to scroll through a long list. IMPORTANT TIP Seize the Day sorts text and numbers using the standard sorting convention described below. Punctuation marks first, then numbers (0 to 9), then letters (A to Z). Upper case letters come before lower case letters. Sort is based on the leftmost characters of the word being sorted. TO VIEW A THIS DAY ENTRY Press the "Seize the Day" bar at the bottom of the Welcome screen, or press the This Day button at the top of the Welcome screen (or use the Command + 6 keys). TO VIEW OTHER THIS DAY ENTRIES Once you reach a This Day entry, you may see other entries by pressing the arrows at the bottom right of your screen. The Left Arrow takes you into the past one day at a time; the Right Arrow takes you into the future one day at a time. We'd like to hear about your original This Day creations. \ To Do List OVERVIEW The To Do list moves with you from one day to the next in the Calendar. Any entries you make will appear day after day unless you delete them or send them to the Done History list. CREATING ENTRIES To enter information into the To Do list, place the cursor in the To Do section and start typing. Every time you hit the Return key a new entry begins with a dash. Text is automatically saved as you type. DELETING ENTRIES To delete an entry, just select it and press the Delete key. KEEPING A HISTORY OF COMPLETED TASKS You may move an entry from To Do to the Done History list included in Lists. Each time you complete a task and press the Done button, the entry will be deleted from the To Do list and added to the Done History list under the date that you completed it. It's a great way to keep a lasting record of your accomplishments. IMPORTANT TIPS The Done feature works for items in the Daily Planner as well. You may move entries between the To Do list and Daily Planner using Drag & Drop techniques or standard cut, copy, and paste techniques. You may also move text and entries from the To Do list to any other part of the Daybook with standard cut, copy, and paste techniques. TEXT EDITING DAILY PLANNER DONE HISTORY DONE (BUTTON) \ To Do List--Sample OVERVIEW As one of the great doers in history (Goethe) once said: "Knowing is not enough; we must apply. Willing is not enough; we must do." And it helps if you have a good system for the doing. The following To Do list system is a hybrid of many well-proven systems, and it works very well within the Daybook To Do list. Give it a try and see if it helps you improve your level of doing and accomplishment. TODAY'S TASKS: FTF (Do it now!) This stands for "Feared Thing First." It's any item that you've been hesitating to do or outright avoiding. A phone call, discussion, writing assignment, whatever. Whatever action you are most afraid of doing, write it down here--then JUST DO IT! Do it before you do anything else, and you will begin each day with courage and accomplishment. SELF The next action is just for you. What's one thing that you would love to do for your health, hobby, family, creativity mind, spirit? Put it here and JUST DO IT! This is how to put balance in your life. OTHERS The next action is for somebody else. Pure giving. Perhaps something you've put off doing for someone else, or just some "random act of kindness." This is another part of balance. We are giving beings, and we need to practice. WORK Finally, write down the single most important action that you may do this day to further your major work purpose. YOUR SHOULD TAKE THE ATTITUDE: WHEN THE DAY IS DONE, AT THE VERY LEAST, THESE FIRST FOUR ITEMS MUST BE ACCOMPLISHED. (And be sure to use the Done button after each accomplishment to punctuate your success.) HIGH PRIORITY TASKS After you've accomplished the first four tasks, it's time to write down whatever actions you need to accomplish this day. The key work here is need. LOW PRIORITY TASKS These are tasks that can be delegated or procrastinated. Eventually some of them will rise to the High Priority level. IMPORTANT: AFTER EACH OF THESE TASKS, PUT THE NUMBER OF DAYS THE ITEM HAS BEEN CARRIED (PROCRASTINATED) FROM THE PAST. (If some action is becoming really ancient, either remove it or make it one of the first four essential tasks of the day. ALSO IMPORTANT: DON'T SCHEDULE SO MANY THINGS TO DO THAT YOU REMOVE ALL FUN AND SPONTANEITY FROM LIFE. ANOTHER DAY WILL COME. (If you're finishing tasks too quickly, add more. If your day-end list is still encyclopedic, shorten it.) ONE FINAL IMPORTANT NOTE: At the end of each day, write down quickly the most important thing you learned or experienced. Make it short. Call it an AHA or an EPIPHANY. Then send it to the Done History list with your accomplishments, and leave work with a feeling of finality and closure. You've earned it. /
